Artemis website privacy notice
Last updated
This notice covers the Artemis waitlist, checkout, support and reviews on this website, operated by Trinity Labs Ltd, the controller responsible for our use of your personal information. It also covers enquiries, returns and warranty claims. To ask about your information, contact contact@trinity-labs.co.uk.
Why we use your information
Contract: we use contact, delivery, order and payment-reference information to take steps you request before a purchase, fulfil your order and provide related support, returns and warranty services. Without the information needed to process an order, we cannot complete it.
Consent: we use the consent you give to send optional Artemis marketing updates. You can unsubscribe using the link in a marketing email or by contacting us. Marketing is not a condition of buying.
Legitimate interests: we use information to answer general enquiries, administer accounts and reviews, keep the website secure, investigate misuse and handle disputes. Our interests are operating a reliable shop and supporting customers, balanced against your rights.
Legal obligations: we retain required accounting and tax records and use information where necessary to meet consumer, financial and other applicable legal requirements.
Joining the waitlist
When you join, we save your email address, any first and last name you provide, your consent to receive Artemis updates, the date you joined, the version of the consent wording and the sign-up source. The form does not request payment information.
We use your email to send news about Artemis, launch timing and availability. We rely on the consent you give in the form. Joining does not reserve or purchase an Artemis.
Checkout
Checkout takes place on this website. We collect your contact and delivery details and use Wix to check products, availability, delivery charges and taxes. Stripe collects payment details through its embedded payment form. Our website database stores checkout details, addresses, quoted amounts, payment references, status and timestamps. Card details go directly to Stripe and are not stored in our website database.
If checkout displays a test-mode banner, its payments do not place a real customer order. Test address details can still be sent to Wix to calculate delivery and tax. Use fictitious details when testing. A completed live purchase creates the order records needed to fulfil your purchase, send confirmations and invoices, and provide support.
Order and payment information is used to process your purchase and support it. Checkout does not add you to the Artemis marketing waitlist. Wix explains its handling of information in its privacy policy. If Stripe processes your payment, its privacy policy also applies.
Order support and your account
The Support area uses Wix to sign you in or create your account. We check that your login email has been verified before showing orders associated with that address. Short-lived account tokens are stored on the server; your browser uses an essential HttpOnly session cookie. We do not collect or store your Wix password.
When you submit a support request, we store your account reference, verified email, selected topic, optional order reference, message, submission time and delivery status in our website database. The request is also sent to our Wix Inbox so our team can respond by email. This information is used to handle your enquiry and support your purchase. Support requests do not subscribe you to marketing. Please avoid including passwords or payment card details in your message.
Returns, warranty claims and enquiries
We use the messages, purchase evidence, product identifiers and any photographs or video you send to assess the issue, arrange an appropriate remedy and keep a record of the outcome. We may share necessary information with a delivery or repair provider. Only send information relevant to your request; avoid including passwords, card details or unrelated personal information.
Your choices and rights
You can withdraw consent or ask us to delete your waitlist record by emailing us at the address above. You can also contact us to request access to or correction of your information. Withdrawing consent does not affect processing that happened before your request. Contact us with questions about your order records; withdrawing marketing consent does not cancel an order.
Depending on the circumstances, you can request access, correction, erasure, restriction or a portable copy of your personal information. You can object to direct marketing at any time, and to processing based on legitimate interests. Some records must be kept to meet legal obligations or deal with claims, so not every deletion request can be fulfilled immediately. Contact us at the email address above; we may need proportionate information to verify your identity.
We normally respond to data-rights requests within one month. Where the law permits additional time for a complex request, we will explain the reason and expected timescale. You can complain to the Information Commissioner’s Office if you are concerned about our response.
Where your information goes
Signup and consent records are stored in the website’s database. For the connected waitlist, we also share your name and email address with Wix to maintain our waitlist contact list and email subscription preferences. Your submission appears in our Wix Inbox, and we record its delivery status in the website database. Existing unsubscribe and delivery preferences continue to apply. Cloudflare provides website hosting, database storage and security services. Wix provides store, account, contact, support and review services, and Stripe handles payments. Delivery providers receive the details needed to deliver orders. Professional advisers or authorities may receive relevant records where needed for accounting, a dispute or a legal duty. We do not sell your personal information. Waitlist contact details are kept while needed for the updates you requested, and removed from active marketing when you withdraw consent or the waitlist purpose ends, subject to the recordkeeping arrangements below.
International processing
Our service providers operate internationally, including in the United States and Europe, so information may be processed outside the UK. Their privacy notices explain their locations and transfer arrangements. UK data-protection law requires an appropriate basis for restricted transfers, such as UK adequacy regulations or approved contractual safeguards. Contact us for information about the arrangements applicable to your data or to request a copy of relevant safeguards.
How long we keep information
We keep order, payment and invoice records for the applicable accounting, tax and legal-claim periods. Support, return and warranty records are kept for the time needed to resolve the issue and handle related claims. Security and diagnostic records are retained according to their purpose and any active investigation. Retention decisions take account of legal duties, the nature of the record and whether a dispute remains open; the one-year product warranty is not a deadline for deleting order records.
Marketing information is kept while your consent and the relevant purpose continue. After an opt-out, a minimal suppression or consent record may be retained to respect your preference and demonstrate how it was handled. Records no longer needed should be deleted or anonymised; copies in backups may remain until those backups are replaced. You can contact us about a specific record.
Protecting the signup form
We use Cloudflare Turnstile to check for automated submissions. Cloudflare processes technical information, including IP addresses and browser information, for this security check. We also limit repeated attempts using pseudonymous identifiers derived from email and IP addresses. Security logs use request IDs and diagnostic codes rather than submitted email addresses or security tokens.
See Cloudflare’s privacy policy for information about its processing. Automated security, payment and availability checks may prevent a request or purchase from completing. Contact us if you think a check has made a mistake; we can investigate the issue with the relevant provider.
Product and store reviews
Product reviews are stored and moderated using Wix Reviews. We send Wix your email address, display name, rating and review. Your display name, rating, review and publication date may appear publicly, along with a reply from Trinity Labs. Your email address is not displayed publicly. Submitting a review does not subscribe you to marketing emails. Contact us if you need help with your review or associated personal information.
The shop links to Trustpilot for store feedback. We do not load its widget. Following a link opens Trustpilot, which may process technical information such as your IP address and browser details. Reviews you submit on Trustpilot are governed by its privacy policy.
Optional website analytics
When enabled, Google Analytics helps us understand page visits, traffic sources, waitlist signups and purchases. It loads only after you choose Accept analytics. You can decline without affecting shopping or support, and change your choice using Cookie settings in the footer.
With consent, Google receives technical information about your device and visit, a cookie identifier, the pages you view and the actions described above. Purchase events include products, quantities, order value, currency and a pseudonymous transaction reference. Our analytics events exclude your name, email address, delivery address, payment details and private checkout links. We do not enable advertising personalisation or Google signals.
Your analytics choice is stored in this browser for 180 days. Analytics cookies are also configured to expire after 180 days, refreshed with consented use. Rejecting analytics stops tracking and removes these cookies. Google processes analytics data under its privacy policy. Account pages and invoice downloads are excluded from this tracking.
Cookies, browser storage and other websites
The basket is saved in your browser’s local storage so selected products and quantities remain available when you return. It also retains checkout references used to update the basket after a purchase; it does not store payment card details. The optional preset-editor demo saves your setup locally when you choose to save it. These local records remain until replaced or cleared.
A checkout access cookie lasts up to two hours. Support sign-in uses a temporary login cookie lasting up to ten minutes and a session cookie lasting up to four hours. These cookies protect access to your checkout or account. You can clear cookies and site data through your browser, but doing so may sign you out, empty the basket or remove saved demo presets.
Video previews are hosted on this website. YouTube’s embedded player loads when you press play, connecting your browser to YouTube. Its privacy policy applies when you use the player or follow a YouTube link.
The hosting platform may also use essential session or access cookies. Stripe’s embedded payment form connects to Stripe when loaded and may use their own storage or security technologies. A provider’s policy does not replace this notice for information we control. Your browser can block third-party content, although some payment, review or video functions may then be unavailable.
